Reserves - Information for Faculty

Standard Reserves

Faculty may place required or recommended class materials, including articles, books, book chapters, exams, and videos, on reserve in the library that are available to students for a brief loan period.  Library staff cannot photocopy large segments of a particular copyright work.  In the case of books, the library will reproduce no more than 10% of their content. 

USC Title 17 (Copyrights), sections 107 and 108, provide a framework for educational institutions in fair use and allowable reproduction of copyright material.  The three main conditions that allow libraries to provide reserves to a student population are:

  • the purpose is educational non-profit use

  • the library or faculty member submitting the reserve request owns a legal copy of the material that is to be placed on reserve

  • the reproduction or distribution of the work includes a copyright notice

To submit a reserve request, please fill out a reserve request form and provide this along with the reserve material to the circulation staff.  You may download a reserve request form or pick one up at the circulation desk in the library.  Students will be able to search the library catalog for reserve material kept in the library.

E-Reserves

In addition to reserves stored in the library, material can be scanned by library staff and made available electronically through Moodle.  This type of reserves is often referred to as E-Reserves.  Material is scanned in PDF format and saved to a designated computer drive in the library.  Faculty then have the option of either designating a library staff member as a “teacher” in Moodle, who can then upload the document on behalf of the instructor or faculty can come to the library to perform the upload themselves.  E-Reserves content will not be included in the Library’s catalog, hence faculty will be responsible for informing students about the existence of the files and the method of access for Moodle.  You may download an Electronic Reserve Request form or pick one up at the circulation desk in the library.  For further information concerning how to process an electronic reserves request please contact Tanya Koval at the Albany Library (292-1721) or at the Troy Library (244-2249) or email kovalt@sage.edu
In addition to the tenants outlined above in USC 17, the Sage Libraries have accepted and adopted CONFU’s (Conference on Fair Use) Guidelines for Electronic Reserve Systems as standard protocol[1].  In addition to the scope and use of material and copyright notice guidelines, access to E-Reserves must be limited to registered students to the course and password protected.  Extended works, such as entire books, will not be placed on E-Reserves.  Furthermore, permission from the copyright holder is required if the item is to be reused in a subsequent academic term for the same course offered by the same instructor or if the item is a standard assigned or optional reading for an individual course taught in multiple sections by many instructors.  Please note faculty members need to delete electronic files after the end of each semester if copyright permission has not been received by the copyright holder for the following semester.  Material may be retained in electronic form while permission is being sought or until the next academic term in which the material might be used, but in no event for more than three calendar years, including the year in which the materials are last used.  Instructors may obtain copyright permission through the Copyright Clearance Center (www.copyright.com).

Reserves - Information for Students

Instructors will often place class materials on reserve at the library, which is stored behind the Circulation desk.  Students may search the Libraries' catalog to look up the status and availability of reserve items. Once at the main catalog page a user must first click the dark blue "Reserve Desk" link on top of the page prior to performing a search. Reserve material may be searched by course number, course name, or instructor.   Some reserve material may be in electronic format.  Such material is referred to as E-Reserves and will be available on a course’s Moodle account.  Please contact your instructor for further information concerning E-Reserves.
